Monitoring renovations

Building management question: Can anybody provide guidance on their board's process for monitoring renovations for compliance with renovation agreement and DOB permits? We recently discovered an illegal renovation that we are having the shareholder fix, but would like to make sure something similar does not happen going forward. Does anyone have an actual process that they can share? E.g., Signoff by either managing agent or superintendent at various stages?

Super is supposed to visit a couple of times a week and make sure the Reno is generally as per plan submitted to the board (walls, rooms and bathrooms are where they were approved) and approved by DOB, plumbing / waterproofing is properly done, and building systems are respected. You can also hire an external inspection firm to periodically inspect for no more $3-4k budget per gut Reno and bill it back to the shareholder.

Thanks 300_mercer - do you have anyone on the board who follows up with the super? Does your managing agent play any role in your coop in this area?

If the super finds that reno is not as per plan approved, the managing agent takes action including visiting the site.

Our small building doesn't have a super. The board and managing agent use an architectural/engineering firm to review the plans, and that same firm does site visits during the job (at least twice -- once after rough plumbing and electrical, and again at finish). Any deviations are reported back to the board and managing agent. Deposit is refunded to shareholder once DOB signs off and reviewing firm gives their OK.
